AI Event Publishing Workflow
An agentic workflow built with Claude and Figma that turns event photos into published website updates
Project Overview
Junior League of Pasadena is a volunteer organization that hosts community events throughout the year. The website has an events section where each event is shared with photos and a short description, so members and the community can see the organization's work and impact.
This project automates how those event updates reach the website. The organization's photographer adds photos to a shared Google Drive folder, and a scheduled Claude project uses a reusable event layout I designed in Figma to publish the update on its own. The overall experience keeps every event page consistent and gets new events online the same day.
Before
Every event update followed the same manual path. The photographer shared the photos, a designer prepared the layout in Figma, and developers coded the page on the website. About ten photos from each event were placed into the events section by hand.
The steps repeated for every event, and one update took about three days from photos to a live page.
Event Layout
The event layout is a reusable Figma template with set places for the event title, the description and the photos. Every update follows the same structure, so the events section stays clean and organized as it grows.
The layout follows the structure of the JLP website: the header and navigation, the event title and date, a photo gallery with one featured photo, the event description and the Recent News sidebar. It gives the automation a clear map of where each piece of content belongs.
Workflow
The workflow starts with one action from the photographer. After the photos are in the shared folder, a scheduled Claude task runs every morning at 9:00 AM, checks for new photos and event details, places them into the event layout and publishes the update to the website's events section.

Results
Event updates now reach the website in 5 to 15 minutes. The photographer's upload is the only manual step, and every event page follows the same layout.
